1. Who we are
HSEHQ is a trading name for an operations portal aimed at UK construction and contracting SMEs. For the purposes of this marketing site, the controller of personal data submitted via the demo / trial waitlist form is Neil Appleby / HSEHQ.
Registered company name, Companies House number, registered address and ICO registration: to be confirmed. We will update this notice when entity details are confirmed. Do not rely on invented company or VAT numbers — none are published here until verified.
2. What we collect
When you use the demo / trial waitlist form on this site we ask for:
- Name
- Work email
- Company
- Rough team / site size
- The module or pain area you need help with (and a short “other” note if selected)
- Your preference (14-day Pro trial waitlist, demo call, or either)
- Optional free-text notes
We may also collect technical data that browsers send automatically (for example IP address and user agent) if and when a production submission endpoint or hosting logs retain them. Until Engineering connects a production inbox or webhook, submissions may be held only in your browser’s local storage for on-screen confirmation.
Cookies / analytics: This marketing site is intended to use essential site cookies only (for example to remember a simple UI preference if added later). We do not currently describe a separate analytics or advertising cookie stack. If non-essential cookies or analytics are introduced, this notice will be updated and, where required, consent will be sought.
3. Lawful bases
- Legitimate interests and/or steps prior to entering a contract — to respond to your enquiry, arrange a demo or waitlist place, and follow up about HSEHQ in a proportionate way.
- Consent — only if we later invite you onto a marketing mailing list beyond sales follow-up related to your enquiry. You can withdraw consent easily.
4. How we use your data
We use enquiry data to:
- Acknowledge and progress your demo or trial waitlist request
- Understand which modules matter to your sites (inspections, incidents/RIDDOR, PTW, NCR, competence, or other)
- Follow up about fit, pricing and next steps
- Improve how we respond to similar enquiries (aggregated learning, not selling your details)
We do not sell your personal data. This form does not take payment or open a paid subscription automatically.
5. Who we share data with
Processors and tooling are still being confirmed by Engineering. When connected, submissions are expected to route to an HSEHQ-controlled inbox or webhook (for example email delivery, Cloudflare Workers, or a form endpoint under HSEHQ control). We will name processors here once confirmed.
We may share data with professional advisers (for example counsel) where needed, or if required by law.
6. Retention
Enquiry data is kept only as long as needed for sales follow-up and related records. As a working proposal pending counsel confirmation: roughly 12 months from your last meaningful contact, or sooner if you ask us to delete where appropriate and no overriding need applies.
7. International transfers
This site is hosted on Cloudflare infrastructure. Processing may involve the UK and EEA and, depending on processor configuration, locations outside the UK. Where personal data is transferred outside the UK to a country without an adequacy decision, we expect appropriate safeguards such as the UK International Data Transfer Agreement / Addendum or standard contractual clauses to be used by processors. Details will be confirmed with counsel and Engineering.
8. Your rights
Under UK GDPR you may have rights to:
- Access your personal data
- Rectification of inaccurate data
- Erasure (in certain circumstances)
- Restriction of processing
- Object to processing based on legitimate interests
- Data portability (where applicable)
- Lodge a complaint with the Information Commissioner’s Office (ICO) at ico.org.uk
